The individual will be responsible for delivering a seamless, efficient, and high-quality interview and hiring experience for candidates, recruiters, and hiring stakeholders. This role serves as the operational backbone of recruiting, ensuring interview processes run smoothly, data integrity is maintained, and hiring workflows move efficiently from requisition approval through offer stage.<br><br>You will partner closely with recruiters, hiring managers, HR partners, and candidates to coordinate interviews, maintain ATS accuracy, and support administrative recruiting operations in a fast-paced, high-volume environment. This role provides strong exposure to talent acquisition strategy and offers an opportunity to develop deep business and recruiting acumen.<br><br><strong>Responsibilities Include, But Are Not Limited To:</strong> <br><br><ul><li>Interview Scheduling & Logistics</li><ul><li>Serve as primary owner of interview coordination across multiple recruiters and requisitions. </li><li>Coordinate complex interview scheduling across time zones and stakeholder calendars. </li><li>Manage interviewer availability and scheduling conflicts proactively. </li><li>Arrange virtual and onsite interviews, including room coordination and logistics. </li><li>Coordinate candidate travel and accommodations when required. </li><li>Prepare interview confirmations, agendas, and candidate communications. </li><li>Monitor scheduling timelines to maintain time-to-schedule goals/ SLAs</li><li>Troubleshoot day-of interview changes and last-minute adjustments</li></ul><li>Candidate & Stakeholder Coordination</li><ul><li>Deliver a high-quality candidate and hiring manager experience throughout the hiring process. </li><li>Act as a primary point of contact for candidates during interview stages</li><li>Provide timely communication, updates, and logistical support</li><li>Partner closely with recruiters and hiring managers to ensure process clarity</li><li>Support interviewer readiness and alignment on interview expectations</li><li>Maintain professionalism and confidentiality in all candidate interactions</li><li>Help reinforce an inclusive, equitable, and positive candidate experience</li></ul><li>ATS Administration & Data Integrity</li><ul><li>Maintain accurate and reliable scheduling data to support reporting and hiring operations. </li><li>Manage candidate workflows and interview stages within the ATS. </li><li>Ensure requisition details, interview stages, and candidate statuses are accurate. </li><li>Post jobs to career sites and job boards within defined timelines. </li><li>Audit requisitions and candidate records for completeness and accuracy. </li><li>Partner with recruiters to maintain consistent ATS usage standards. </li></ul><li>Recruiting Operations & Administrative Support</li><ul><li>Support operational efficiency and recruiting workflow execution. </li><li>Manage inbound inquiries to recruiting inboxes (e.g., careers@ email). </li><li>Assist with offer preparation coordination and onboarding handoffs. </li><li>Support recruiting projects and operational initiatives. </li></ul><li>Process Improvement</li><ul><li>Contribute to continuous improvement of recruiting operations. </li><li>Identify scheduling bottlenecks or process inefficiencies. </li><li>Recommend workflow improvements to recruiting leadership & People Process Design leader. </li><li>Support implementation of recruiting best practices and standards</li><li>Help scale processes as hiring volume grows. <br></li></ul></ul><strong>Things That Should Be In Your Background:<br><br></strong><ul><li>1+ year of recruiting coordination, HR administration, or recruiting operations experience</li><li>Experience working within an Applicant Tracking System (ATS) required</li><ul><li>Greenhouse ATS experience strongly preferred</li></ul><li>Excellent organizational and time management skills</li><li>Strong written and verbal communication skills</li><li>Ability to manage multiple priorities simultaneously</li><li>High attention to detail and commitment to data accuracy</li><li>Strong customer-service mindset and candidate-first approach</li><li>Ability to handle confidential information with discretion</li><li>Proactive problem-solving and anticipation of scheduling challenges</li><li>Experience supporting multiple recruiters simultaneously</li><li>Comfort working across time zones and global teams</li><li>Strong collaboration and stakeholder management skills<br><br></li></ul><em>While this position is open to remote candidates across the U.S., we will prioritize those who live in the Washington-Baltimore metropolitan area and who are available to come into our headquarters in Arlington, VA two days a week.<br><br></em><strong>Benefits & Culture<br><br></strong>Our global employee base is a diverse collection of innovators, dreamers, and doers working together to transform lives through higher education.
